Institutional Clearances

FOR Requests and LetterS of Inquiry with No Detailed Budget or Research

Please email Foundation Relations in advance of submission, as clearance may be required to approach a foundation for funding. This communication is also needed to:

  • Help faculty enhance their chances of gaining support
  • Avoid duplicative solicitations or violation of foundation guidelines
  • Sustain the university’s positive relationships with foundations

In addition, faculty may need clearance from their dean and the signature of an authorized institutional official before submitting a funding request. Foundation Relations can expedite these steps, and we advise applicants to avoid delays by contacting a team member about upcoming needs.

FOR Funding Proposals with Detailed Budgets and Research

Budgets for all research proposals must be approved by the Office of Sponsored Research Services (OSRS) in advance of submission. It is strongly recommended to connect with Foundation Relations about proposals as soon as possible since significant lead time is necessary to ensure OSRS approvals.

UNIVERSITY ADVANCEMENT Document Retention POLICY

Faculty is asked to provide copies of all foundation proposals, grant agreements, award letters and decline notices to Foundation Relations. This practice ensures compliance with stewardship guidelines and allows the office to maintain a complete record of the university’s relationships with foundations.

PROPOSAL ATTACHMENTS

Foundation Relations can provide all institutional content that a proposal may require, including university history, institutional data, leadership profiles, etc. We also provide attachments such as 501c(3) certification, audited financial statements, board list, tax policies and procedures, and any other institutional documents required by the individual foundation. If you require documents that are not listed here, please contact a Foundation Relations staff member for assistance.
